How it works

Your simple, step-by-step guide

Everything on Swaggeroo, from ordering a few items to running your own store, explained in plain language. Each step tells you exactly what happens and whether it's your move or ours.

Start reading “You do this” = your action “We do this” = we handle it

For shoppers

Buy a few items (pay-now)

The fastest path. For small quantities (5 or fewer) you check out and pay immediately. There's no quote and no proof to wait on. Volume price breaks still apply, but there's no minimum order.

  1. 1

    Browse the shop

    You do this/shop

Search, filter and sort the catalog. Open any product to see pricing, colors and options.

  2. 2

    Pick options & quantity

    You do this/shop/…

Choose your variant and quantity. At 5 or fewer, the button reads “Add to Cart · Buy now” and the order skips the design workflow entirely.

Logo preview and imprint/decoration unlock at 6+ items. Below that you'll see “Add 6+ to preview your logo.”

  3. 3

    Add to cart → checkout

    You do this/checkout

Adding opens a drawer with a Checkout button. Checkout requires you to be signed in, then collects your name, email and phone (pre-filled if you're logged in).

  4. 4

    Pay with card

    You do this

Confirm your card and the order is marked paid. A receipt lands in your inbox and our team is notified. For small quantities there's no proof to wait on, so we start producing right away.

For teams & events

Bulk orders & Swag Packs (quote-first)

Larger runs and custom swag packs go through a quote first, so we can proof your branding before anything prints. You approve the design, then pay.

  1. 1

    Build your cart

    You do this/shop/…/swag-pack

Add bulk items (6+) from a product page, and/or build a Swag Pack in Pack Studio (below). Everything collects in one cart.

  2. 2

    Pack Studio wizard (optional)

    You do this/swag-pack

Build a curated kit in four steps: Pick products → set Quantities (minimum 5 per pack) → add Branding (upload your logo + choose packaging) → Review totals → add the pack to your cart.

  3. 3

    Submit your project

    You do this/cart/project-submission

From the cart you sign in and submit project details: contact info, needed-by date, notes and your logo. This creates a project and an order marked “Pending review.”

  4. 4

    Design & approve

    You do this/dashboard/designs

Our team uploads mockups; you review and approve (or request revisions). This is the one place your input is needed. See “How approval works” below for exactly what to expect. When every item is approved, the order flips to “Approved / ready for production.”

  5. 5

    Pay once approved

    You do this/dashboard/orders/…/checkout

Payment unlocks only after all items are approved. Pay by card (Stripe); any shipping included in the order is settled at the same time.

For customers & designers

The design & proofing workflow

Every quote-first item moves through a design workflow so you sign off on the branding before production. It lives in the dashboard and serves both the design team and the customer.

  1. 1

    Mockup in progress

    We do this/dashboard/designs

A designer (optionally assigned to your order) uploads a mockup with your logo placed on the product, plus any notes.

  2. 2

    Review the mockup

    You do this

You're notified by email and in-app. Open the design to review it: approve it, or request a revision with your comments (which sends it back to the designer).

  3. 3

    Revisions (if needed)

    We do this

A revision request opens a thread and returns the item to the designer. Repeat until you're happy; there's no limit. A proof round is also supported when an order calls for one.

  4. 4

    Ready to order

    You do this

Approving marks the item ready. Once all items are ready, the whole order becomes “Approved,” production unlocks, and you're pointed to checkout.

How approval works

What “approval” actually means

On bulk and swag-pack orders we always show you a design proof before anything prints, so there are no surprises. Here's every status you'll see and exactly what to do at each one.

The short version: you're only asked to do two things.

Approve your proof, then pay. We handle everything in between, and nothing ever prints until you've said yes.

  1. Step 1Pending reviewWe handle it

You submitted your project. We've received it and queued it for our design team. Nothing for you to do yet.

  2. Step 2In designWe handle it

Our designers place your logo and build a mockup for each item, so you can see exactly what you're getting.

  3. Step 3Needs your approvalYour turn

We email you when the mockup is ready. Open it, check the design, then either Approve it or Request a revision with your notes.

  4. Step 4Revision requestedWe handle it

If you asked for changes, your notes go straight back to the designer, who sends an updated mockup. This repeats until you're happy; there's no limit.

  5. Step 5Approved · ready for productionYour turn

Once you've approved every item, the order locks in and payment unlocks. Nothing prints before this point.

  6. Step 6Paid → in production → shippedYour turn

You pay securely by card, we print your order and ship it, and you can follow it any time from the tracking page.

Selling on Swaggeroo

How seller approval works

Want your own branded store? Every seller is reviewed first. Here's the whole path from applying to your first sale.

  1. You apply

    Your turn

Submit your business details, pick your store's web address, upload your logo and accept the seller agreement.

  2. We review

    We handle it

Our team checks your application to keep the marketplace trustworthy. You'll hear back by email either way.

  3. You're approved

    We handle it

We create your seller account and store, then email you a secure link to finish setting up, so there's no password to remember up front.

  4. You go live

    Your turn

Open the link, set your password, add products and your branding, and your storefront is live for customers.

Buying just a few items (5 or fewer)? There's no proof step, so you pay and we produce right away.

For everyone

Shipping, recipients & tracking

Ship the whole run to one address, send to many recipients, or store stock with us and release it on demand.

  1. 1

    Save recipients

    You do this/dashboard/recipients

Keep an address book of people and places. Each order can ship to one address or be split across many recipients.

  2. 2

    Plan shipments

    You do this/dashboard/orders/…/shipping

Create a shipment per recipient with a service level (standard/express). Shipping can be included in the order total or paid separately.

  3. 3

    Store & release (optional)

    We do this/dashboard/inventory

Warehouse bulk stock with us. An append-only inventory ledger tracks every receipt and allocation, so you can ship on demand later.

  4. 4

    Track it

    You do this/track

Follow an order with its number + email, or a magic tracking link from our status emails. No account needed.

For sellers & partners

Sell on Swaggeroo (white-label store)

Launch your own branded storefront on Swaggeroo. We handle the catalog, printing and fulfillment; you curate products, add your logo and set your prices, and earn on every sale.

  1. 1

    Apply to become a seller

    You do this/become-a-seller

A two-step application: your business details (a business email is required), then your desired store URL (checked live for availability), logo, and acceptance of the seller agreement.

  2. 2

    Get approved

    We do this/dashboard/partners

Our team reviews applications. On approval we create your seller account and your store, and email you a secure account-setup link.

  3. 3

    Set up your account

    You do this/account-setup

Open the link, choose a username and password, and you're logged into your seller dashboard.

  4. 4

    Build your store

    You do this/seller

In the store editor: curate products, place your logo on each, set your own price (never below our base), pick your brand colors, hero copy and CTA. Your storefront lives at /store/your-slug.

  5. 5

    Customers buy from your store

    Automatic/store/…/store/…/checkout

Shoppers browse your branded store and check out with card (pay-now). Each paid sale records your earnings and emails a store-branded receipt; you and our team are both notified.

For staff & operators

Run the platform (admin dashboard)

The dashboard is permission-filtered, so each person only sees what their role allows. The main areas:

  1. 1

    Catalog & orders

    /dashboard/catalog/products/dashboard/orders

Manage categories, collections and products; work orders through review, design, production and shipping.

  2. 2

    Fulfillment

    /dashboard/inventory/dashboard/shipments/dashboard/shipping

Track warehouse stock, per-recipient shipments, and configure shipping zones, rates and package profiles.

  3. 3

    Sellers & finance

    /dashboard/partners/dashboard/stores/dashboard/payouts/dashboard/finance

Approve sellers, manage white-label stores, run payouts, and review revenue, cost and profit reports.

  4. 4

    People & settings

    /dashboard/users/dashboard/permissions/dashboard/settings

Manage users and employees, edit roles & permissions, and flip platform toggles (like the logo-preview gate).

That's the whole map.
